1. How Out of Office (Vacation Responder) Works

The "Out of Office" or "Vacation Responder" feature is a user-specific setting designed to be managed directly by the account owner.

  • User-Centric Design: It is intended to be set up by the individual user within their Gmail settings (Settings > General > Vacation responder) or Google Calendar.
  • Trigger Mechanism: The auto-reply is triggered only when an email is successfully received and delivered to the user's inbox. If the email cannot be delivered, the auto-reply cannot be sent.

 

2. Administrator Limitations 

There is a common misconception that Google Workspace Administrators can easily toggle "Out of Office" messages for other users. However, native system limitations and security policies prevent this.

  • No Direct Admin Control: There is no button or setting in the Google Admin Console that allows an administrator to simply "turn on" an Out of Office message for a specific user.
  • Access Policy (Strictly Enforced): Administrators are not authorized to log in to a user's account to set this up.

    • Security Risk: Logging in as a user requires resetting their password, which breaks the chain of custody and violates "Least Privilege" security protocols.

When an employee leaves the organization, their account is typically "Suspended" on their separation date to revoke access to company data. This action has an immediate impact on the Vacation Responder.

  • Out of Office Will NOT Work on Suspended Accounts:

    • When an account is suspended, Google Workspace immediately blocks all incoming email traffic to that account.

    • Because the email never hits the inbox, the "Vacation Responder" rule never triggers.

    • Result: The sender will not receive the Out of Office notification. Instead, they will typically receive a "Delivery Status Notification (Failure)" or "Bounce" message indicating the email address could not be found or is inactive.
