25Live - How to Request Rooms

Using 25Live to Request a Room


You can check the availability of the room you’re interested in by going to Locations on 25Live’s homepage.

 

Once you’re at the locations menu, you can search by the Building number and the Room number, and adjust the dates to the specific date of interest.

Ex of Building Numbers: LCC01 010

To fully request a room, please follow the steps below

  1. Sign in to your 25Live account
  2. Click on the Locations tab on the top menu bar
  3. Search for the room you’re interested in by typing in the abbreviated Building number and Room number, ex CEN 219 on the Enter a Search Term search bar.
  4. Once you search for the room, you should see a calendar like the one below

    If you DO NOT see a calendar, click on Load Calendar in the area where you searched for the location.
  5. Click on the pencil pad once you’ve decided which day(s) work best for you
  6. You’ll see a menu where you can name the event, and decide what type of workshop it is and then click Next.
    A Student Workshops or Employee Training are reserved for an open workshop, i.e. where students or employees can come without invitation.
    If you’re wanting to hold a private meeting with your department, choose Meeting.
    Note: Please enter your department for the Primary Organization for this Event
  7. If you have an expected head count of how many people will attend, you can input it here.
    NOTE: Some rooms have a max limit of how many people will can be in the room, please be aware of this.
  8. On the same screen as the excepted head count, there is also the Event Description, please enter a small summary of what the event will be about.
  9. Choose whether this event is repeated, or only happens once.
  10. If Event Happens Once: enter the date and the time duration of when it happens
  11. If Event Happens More than Once: Enter the date and time duration of the first event, and then click next. You will see a choice of how often the event repeats.

    Choose how often the event repeats, and you can then choose which days it repeats until the date.
  12. Click Next at the bottom of the screen.
  13. You can now choose the location of where your event is held. Choose Search by Location Name…

    Enter the bulding number and room number as the following: Bld # Rm #
    Ex LCC02 216, LCC19 216
  14. Click next, at the bottom of the screen.
  15. If your event needs an Event Resources you can enter them on this page. Select Advance Search and choose the items that are required for your course.

    If you DO NOT need additional resources for your event, you can skip this and continue on.
  16. Click Next until you reach Contacts for this Event.
    NOTE: If your event is NOT in the Theater, DCA, Gymnasium or Athletic fields, your scheduler is going to be Barbara Bailey.
    IF your event is in the Theater, it’s Jame McConkey. In the DCA, it’s Man Nguyen. In the Gymnasium or Athletic Fields, it’s Brent Ellison.

    Enter in your name for the Requester.
    Event Coordinator: Person for public to contact for information. Enter the name of the person who’s teaching the event in Facilitator for public events.
  17. Change the Requester to you, and then the Instructor to your name.
  18. Click Next at the bottom of the screen.
  19. Choose the category that your event is in from the long list of possible events.

Continue clicking Next until you come to the Draft, and then it’ll be sent on to your scheduler and the event requester.
